Please plan to arrive early, especially if you need to utilize the circle drop-off or handicapped parking, as those spaces are limited and available on a first-come, first-served basis.

REQUIRED DOCUMENTATION FOR ENTRY
All attendees must present either a printed ticket or have their digital ticket displayed on a mobile device scanned at the entrance. A valid photo ID matching the ticket holder’s name is also required.
DRESS CODE/SUGGESTED ATTIRE
To make the evening extra special, we encourage guests to wear their favorite Christmas colors and festive holiday attire. Feel free to add a touch of sparkle, coziness, or cheer — let’s make it a night full of holiday spirit as we celebrate together! 🎄✨
WHAT TO BRING
Please remember to bring your printed or digital ticket and a valid photo ID for entry. Items will be available for purchase in the lobby before and after the concert. We recommend bringing a credit card or cash if you’d like to purchase merchandise or music.
🚫 WHAT NOT TO BRING
For the safety, comfort, and enjoyment of all guests, please note that the following items are strictly prohibited inside the venue and event space:
- Outside food and beverages (concessions and merchandise will be available in the lobby)
- Alcohol, illegal substances, and drug paraphernalia
- Weapons of any kind (including firearms, knives, pepper spray, tasers, and any other items deemed dangerous)
- Large bags, backpacks, or oversized totes (small handbags or clear bags are permitted and may be subject to inspection)
- Professional cameras, video equipment, or audio recording devices (unless authorized by event management)
- Signs, banners, or objects that obstruct views or block aisles
- Laser pointers, noisemakers, fireworks, or any disruptive items
- Animals or pets (only certified support animals are permitted)
- Smoking, vaping, or use of e-cigarettes
- Musical instruments or amplified sound devices
- Glass containers or cans
- Outside merchandise, promotional materials, or solicitation of any kind
- All guests and belongings may be subject to security screening. Anyone refusing screening or found with prohibited items may be denied entry or removed from the premises without refund.
PHOTOGRAPHY/VIDEOGRAPHY POLICY
Out of respect for our performers and in compliance with artist and venue agreements, photography, videography, and audio recording are prohibited during the performance unless expressly authorized in advance by event management in writing.
- Unauthorized recording of any kind may result in removal from the venue without refund.
- Flash photography is not permitted at any time during the performance, as it can distract the artists and audience.
- Personal photos and videos before and after the concert are welcome in designated areas, such as the lobby and photo zones.
- Media outlets, sponsors, or authorized photographers must display event-issued credentials and follow all guidelines provided by event management.
- By entering the venue, all guests acknowledge that they may be photographed, filmed, or recorded by event staff for promotional and archival purposes. Attendance at the event implies consent for the use of these images and recordings unless otherwise notified in writing
REGISTRATION WINDOW AND DEADLINES
- Registration Window: Ticket sales will open on September 19 (or sooner).
- Advance Purchase Recommended: We strongly encourage purchasing tickets early to secure your spot, as seating is limited and this event may sell out quickly.
- At-the-Door Sales: General admission tickets may be available at the door on the day of the concert; however, if tickets are sold out online in advance, no additional tickets will be released.
- Sold-Out Notice & Waitlist: In the event the concert sells out, we will provide a waitlist option. If additional seats become available, waitlisted guests will be contacted in the order in which they registered.
- VIP Tickets: VIP packages and meet-and-greet tickets are limited and will not be available for purchase at the door.
Accepted Forms of Payment
- Credit cards, debit cards, and on-site cash or checks will be accepted for ticket purchases and merchandise sales.
- Online Ticket Sales: Tickets cannot be held without payment. All online purchases must be paid in full at the time of checkout to secure your reservation.
- On-Site Purchases: While tickets may be available at the door (unless sold out), we highly encourage advance purchase to guarantee entry.
- Returned or Declined Payments: Any returned checks or declined payments may result in the cancellation of tickets or merchandise orders.
- No Ticket Transfers Without Approval: Tickets are non-transferable unless prior written authorization is granted by event management.
AT-THE-DOOR REGISTRATION
- General Admission Only: Tickets purchased at the door are available for general seating only.
- VIP packages and meet-and-greet tickets will not be sold on-site.
- Limited Availability: If tickets are sold out online, door registration may not be available. We recommend checking online in advance before traveling to the venue.
- Waiting List: In the event the concert is sold out, a waiting list may be available at the door. Guests will be placed on the list in the order they arrive and will be admitted only if additional seating becomes available.
- Accepted Payments: Credit cards, debit cards, cash, and on-site checks will be accepted at the door. Tickets cannot be held without payment.
REFUND POLICY
- All ticket sales are final and non-cancelable. Tickets may be transferred up to 48 hours before the event. If a ticket is unused and not transferred, the amount will be considered a charitable donation to the ministry, and an updated receipt will be issued accordingly.
- Concert Cancellation: In the unlikely event that the concert must be postponed or canceled due to unforeseen circumstances (e.g., severe weather, artist illness, or venue emergencies), we will notify all ticket holders via mass email, social media, and our website.
- Rescheduled Events: If the concert is rescheduled, all previously purchased tickets will be automatically valid for the new date.
- Non-Transferable Without Approval: Tickets are non-transferable unless approved in writing by event management.
REENTRY POLICY
- Ticket Required for Re-Entry: If you leave the venue during the event, you must present your original ticket upon returning. Please keep your ticket with you at all times.
- No Outside Food or Beverages: As a reminder, outside food and beverages are not permitted inside the event space.
- Security Screening Applies: All guests re-entering the venue may be subject to security screening. Please plan accordingly to avoid delays.
TICKET EXCHANGE/TRANSFER POLICY •
- Authorized Transfers Only: Tickets are non-transferable unless the transfer is approved and processed by event management in writing.
- Written Request Required: If you need to transfer your ticket to another guest, you must submit a written request via email to cheryl.simmons@cefva.com.
- Deadline for Transfers: All transfer requests must be received no later than 48 hours before doors open on the day of the concert.
- Identification Required: The original ticket holder must be present or provide written authorization for the transfer to take place. We must update our records to ensure the new ticket holder’s name matches our entry list.
- On-Site Transfers: Transfers will not be processed at the door without prior written approval. Guests arriving without updated credentials may be denied entry.
- No Resale: Unauthorized resale of tickets is prohibited and may result in cancellation of the ticket without refund.
EVENT CANCELLATION/RAINOUT POLICY
We make every effort to ensure that the concert takes place as scheduled. However, in rare circumstances, the event may need to be postponed, rescheduled, or canceled due to circumstances beyond our control. These may include, but are not limited to:
- Severe weather or natural disasters (e.g., hurricanes, floods, earthquakes)
- Venue emergencies or structural issues
- Artist illness, travel disruptions, or other performer-related emergencies
- Power outages, equipment failure, or security concerns
- Government regulations, civil disturbances, or other force majeure events
In such cases:
- Rescheduled Events: If the concert is rescheduled, all previously purchased tickets will remain valid for the new date.
- Refund Option for Rescheduled Events: All ticket sales are final and non-cancelable. Tickets may be transferred up to 48 hours before the event. If a ticket is unused and not transferred, the amount will be considered a charitable donation.
- Communication of Changes: Any cancellations, postponements, or updates will be communicated via mass email, our website, and social media platforms. Please ensure that your contact information is accurate at the time of purchase.
- No Liability for Additional Costs: The event organizers are not responsible for any travel, lodging, or additional expenses incurred due to event cancellations, rescheduling, or delays.
LOST TICKET?
- If you have lost your ticket, you can go to the page where you registered for the event and click on the "Update/Review an Existing Order" button to re-download your ticket. If you lost the confirmation email and all your ticket details, please contact the event organizer.
📌 Sponsorship Guidelines & IRS Disclosure -
- Sponsorships directly support the costs of hosting the concert events and fuel the mission to reach children across Virginia.
- Payments must be received 30 days prior to concert date to ensure full benefits including printed materials, signage, and recognition.
- Sponsors must provide banners, signage, and logos.
- Logos must be submitted at least 2 weeks before the event;
- Banners delivered one week before.
- In accordance with IRS regulations, the tax-deductible portion of your sponsorship is limited to the amount exceeding the fair market value (FMV) of tickets, meals, or benefits received. - For this event, the FMV is estimated at $45 per VIP/meet-and-greet ticket, $35 per general admission ticket. - A written acknowledgment, including the deductible portion, will be provided for your records after the event.
